The Cambridge Food Bank is committed to upholding the privacy of private and identifiable information. The Cambridge Food Bank will comply with the protection obligations outlined in the Personal Information Protection and Electronic Documents Act (PIPEDA).
Defining Personal Information
The Cambridge Food Bank is dedicated to safeguarding the personal data and privacy of its donors, affiliated organizations, community food programs, volunteers, staff, and other stakeholders. We respect the confidence that the public and the people we work with place in us, and we understand that keeping this confidence demands that we are transparent and accountable in how we treat and handle the information you choose to share with us openly and responsibly.
The Cambridge Food Bank regularly collects and utilizes personal information in the course of its many programs and initiatives. Anyone from whom we obtain such information should anticipate that this information will be carefully safeguarded. Consent will be obtained for any use or other interaction with the data. The Cambridge Food Bank’s privacy policy and practices are designed to achieve this.
Privacy Practices and Protection of Information
The Cambridge Food Bank observes the following ten (10) privacy principles, based when collecting, maintaining, and using personal information.
1. Accountability
The Cambridge Food Bank is responsible for its donors, member agencies and community food programs, volunteers and employees, and other interest-holders personal information under its control and will ensure its accountability to the 10 Fair Information Principles. We are responsible for personal information under our control and shall designate an individual or individuals who are accountable for the organization’s compliance with the following principles.
2. Identifying Purposes
During the course of various initiatives, projects and events the Cambridge Food Bank frequently gathers and uses personal information and will always identify why personal information is being collected at or before the time the information is collected.
3. Consent
The knowledge and consent of the individual are required for the collection, use, or disclosure of personal information, except where inappropriate.
4. Limiting Collection
The Cambridge Food Bank will only collect information which is necessary for the purposes identified by the organization. This information will always be collected in fair and legal ways.
5. Limiting Use, Disclosure, and Retention
Unless required by law, all private information collected by the Cambridge Food Bank will only be used for the purposes for which it was collected. Private information will only be retained as necessary to serve the purposes for which it was collected.
6. Accuracy
Personal information shall be as accurate, complete, and up-to-date as possible to properly satisfy the purposes for which it is to be used.
7. Safeguards
Personal information shall be protected by appropriate security relative to the sensitivity of the information which can include either locked filing cabinets, encrypted drives, or any other means necessary to ensure the privacy of the information.
8. Openness
An organization shall make detailed information about its policies and practices relating to the management of personal information publicly and readily available.
9. Individual Access
Upon request, an individual shall be informed of the existence, use, and disclosure of his or her personal information and shall be given access to that information. An individual shall be able to challenge the accuracy and completeness of the information and have it amended as appropriate.
10. Challenging Compliance
The Cambridge Food Bank will comply with the compliance regulations under PIPEDA and it will endeavour to meet or exceed the principles established by the Act. An individual can challenge an organization’s compliance with the above principles. Their challenge should be addressed to the designated individual or individuals accountable for the organization’s compliance with PIPEDA
Personal Information
In this Privacy Statement, “personal information” means information about an identifiable individual as described under Canadian privacy laws.
Any information that may be used to differentiate, identify, or get in touch with a specific person is considered personal information. This includes any information on an identifiable individual.
In addition to facts about or connected to the individual (such as name, address, phone number, and email address), this information may also include the opinions or beliefs of the individual.
Generally, personal information does not include any business contact information that is solely used to communicate with you in relation to your employment, business or profession, such as your name, position or title, work address, work telephone number, work fax number or work email address.
The Cambridge Food Bank may collect, use, and disclose different types of personal information, depending on our relationship with you. Generally, the Cambridge Food Bank collects the following types of personal information (not all of which may apply to you):
- Identity information, such as your first and last name.
- Contact information, such as your e-mail address, primary address, and telephone numbers.
- Comments, opinions, or feedback you provide to us about our programs and services.
- Information that you provide when you interact with us on social media, such as your username, comments, and photos.
- Event participation information, such as your enrollment and attendance at our events.
- Marketing and communications information, such as your preferences for receiving our newsletter.
- Technical and usage information when you use our website, such as your internet protocol (IP) address, login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system, and platform and other technology on the devices you use to access our website.
- We also collect, use, and share aggregated and anonymized data to conduct research and statistical analysis about the operation, and use of food banks in Ontario. Aggregated and anonymized data is not considered personal information because it cannot be used to identify you.
How the Cambridge Food Bank uses your Personal Information
The Cambridge Food Bank may use your personal information to:
- Process your donation and issue tax receipts.
- To provide and maintain our service, including monitoring the usage of our service and evaluating and improving our service, products, services, marketing, and your experience.
- To respond to your questions, inquiries, or requests.
- To recognize you as a donor.
- To conduct research and analysis about food bank usage in Ontario.
- To manage our operations, and arrangements with our member food banks and partners.
- To send you informational, fundraising, or promotional communications.
- To identify usage trends and determine the effectiveness of our promotional campaigns.
- To communicate with you through our newsletter or other communications, unless you have opted not to receive such information.
- To ensure your safety if you visit our premises (which may include video surveillance).
- To improve the effectiveness and efficiency of our operations, services, and programs, including to detect and prevent errors and fraud
- To investigate legal claims and protect our rights, operations, or property
- For such other purposes as you may consent to from time to time
- To carry out other purposes that are disclosed to you and to which you consent.
- To carry out any other purpose permitted or required by law.
The Cambridge Food Bank does not sell, rent, or trade its mailing lists.
Information Collection
You have a variety of tools to control the information collected by cookies, beacons, and similar technologies when you use the Cambridge Food Bank site. For example, you can use controls in your internet browser to limit how the Cambridge Food Bank sites you visit are able to use cookies and to withdraw your consent by clearing or blocking cookies.

The Cambridge Food Bank will retain your personal data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use your personal data to the extent necessary to comply with our legal obligations (for example, if the Cambridge Food Bank is required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies.
The Cambridge Food Bank will also retain usage data for internal analysis purposes. The Cambridge Food Bank does not address anyone under the age of 13 without the consent of their guardian.
